Policy on the Protection of Personal Information

WARRIORSGYM (hereinafter referred to as “the Company”) recognizes that personal information must be handled carefully in accordance with the principle of respect for individual dignity. The protection of personal information is a fundamental aspect of our business activities and a social responsibility. WARRIORSGYM (the “Company”) shall comply with the Act on the Protection of Personal Information of Japan, related laws and regulations, applicable guidelines, and this Privacy Policy when handling personal information. Before using services operated by the Company, including WARRIORSGYM, please read this Privacy Policy. By continuing to use our services, you are deemed to have agreed to this Privacy Policy.

2. Definition of Personal Information

In this Privacy Policy, “Personal Information” means information relating to a living individual that falls under any of the following:

  • 1. Information that can identify a specific individual by name, date of birth, or other descriptions contained in such information (including information that can be easily collated with other information to identify a specific individual);
  • 2. Information containing personal identification codes.

3. Acquisition of Personal Information

When acquiring personal information from customers, the Company shall do so by lawful and fair means. Except where permitted by law, we will clearly specify the purpose of use in advance and obtain consent before acquiring personal information, and we will limit acquisition to the extent necessary to achieve such purposes.

  • 1. Member’s name, age, gender, date of birth, address, telephone number, workplace, school, emergency contact, family information, email address, and facial photograph
  • 2. Bank account information used for membership fee payments or refunds
  • 3. Entry/exit records of each club and security camera footage within facilities
  • 4. Information contained in identification documents (driver’s license, passport, health insurance card, etc.) presented at the time of enrollment
  • 5. Information obtained by confirming and recording (or copying) resident registration certificates if deemed necessary by the club
  • 6. Other necessary information related to participation in classes, programs, or events

4. Joint Use of Personal Information

Personal information entrusted to the Company as described in Section 3 may be jointly used within the scope necessary to achieve the purposes described in Section 6:

  • 1. Headquarters (WARRIORSGYM)

5. Outsourcing of Personal Information Handling

To provide better services and facilitate smooth operations, the Company may outsource the handling of personal information within the scope necessary to achieve the purposes stated in Section 6:

  • 1. Membership management system provider: hacomono Inc.

Additionally, the Company may outsource credit card payment processing for club usage fees to PAY Inc. (“Payment Processing Contractor”). In such cases, customers may be requested to provide personal information directly to the Payment Processing Contractor; however, the Company will not acquire such payment-related personal information.

6. Use of Personal Information

The Company shall use acquired personal information only within the following purposes and shall not use it beyond such scope without the individual’s consent or unless permitted by law:

  • 1. Identity verification of members
  • 2. Providing information and notifications regarding events and services offered by the Company or each club
  • 3. Billing of membership and facility usage fees
  • 4. Responding to inquiries or communications
  • 5. Improving and enhancing services provided by the Company or each club
  • 6. Other purposes incidental to the above

The Company may change the purpose of use only when reasonably deemed relevant to the original purpose. In such cases, we will notify or publicly announce the revised purpose by prescribed methods.

7. Management and Protection of Personal Information

The Company appoints a responsible manager for handling personal information and maintains accurate and up-to-date information based on customer notifications. We implement strict and appropriate management measures to prevent unauthorized access, loss, destruction, alteration, or leakage of personal information through organizational, physical, human, and technical safeguards. When the purpose of use has been fulfilled, personal information will be promptly disposed of or deleted.

8. Restriction on Provision to Third Parties

The Company will not provide or disclose personal information to third parties without prior consent, except where permitted by law.

9. Disclosure, Correction, Addition, Deletion, Suspension of Use, and Erasure

If a customer wishes to request disclosure, correction, addition, deletion, suspension of use, or erasure of personal information held by the Company (including records of third-party provision), please contact us at the number listed in Section 14. Upon verifying the identity of the requester, we will conduct necessary investigations without delay and respond appropriately within a reasonable and necessary scope. Please note that identity verification procedures and service fees may apply.

10. Security Control Measures

The Company strictly manages personal information and implements appropriate preventive and security measures against unauthorized access, loss, destruction, alteration, or leakage. The Company will not use personal information by unlawful or improper means.

11. Supervision of Contractors

When outsourcing personal information handling within the legitimate scope of use, the Company shall require contractors to manage such information strictly and supervise them appropriately.

12. Review and Revision

The Company shall comply with applicable Japanese laws and regulations concerning personal information and periodically review and improve this Privacy Policy. Any revisions shall become effective upon publication on this page.
